The brief
The agency's campaigns were generating enquiries their brokerage clients never called back fast enough. They didn't need better ads. They needed someone answering, and a system that made sure nothing sat untouched overnight.
What we built
- 01
Routed every lead into one pipeline
Campaign leads land directly in the client's Votel pipeline with the source attached, so nobody has to check three places.
- 02
Built the follow-up cadence
A fixed sequence of calls, texts, and reminders with clear rules for when a lead moves stage and when it gets dropped.
- 03
Put an appointment setter on the desk
A trained VA working the list under the agency's name, calling, rescheduling, and chasing the no-shows nobody enjoys chasing.
- 04
Set up the weekly report
One page the agency forwards to the brokerage each Monday: what came in, what got booked, what's still open.
What the end client sees
- A call back the same day they enquire
- Appointments landing straight in the agent's calendar
- A weekly summary from their agency, not from us
What we'd tell you on a call
Speed of first reply is usually the whole gap. It's a staffing problem dressed up as a marketing problem.

How we document projects: white-label engagements are confidential (our name never appears on the client side), so each write-up covers the scope, the sequence, and the result by vertical rather than naming the agency behind it.
